Position Summary

Reporting to the Human Resources Business Partner, the Human Resources Assistant plays a critical role in the effectiveness of the company. From hiring, to keeping track of all the employee records, the HR Assistant is the hands-on representative of their HR department. The individual is responsible for the organization of the office, supporting all US sites, and many other duties, working both independently and with others. From assisting in the interviewing process to communicating company policy to employees, the HR Assistant’s job is to make sure each human resource related detail is taken care of. Under the direction of the supervisor, the HR Assistant helps to ensure the efficiency and high performance of the company.

Responsibilities

  • Provide timely assistance to team members regarding benefit and human resource questions and issues; 
  • Maintain employee personnel files to ensure legal compliance;
  • Files papers and documents into appropriate employee files;
  • Set up pre employment screenings, physical test, and monitor through the process;
  • Maintain all electronic files for US sites and send all new hire info to the appropriate people (Payroll, etc…);
  • Prepare new employee files for TN;
  • Assist with recruitment and interview process primarily for hourly hiring - Review, screen, and maintain applications and resumes, schedules meetings and interviews;
  • Phone screens for the US sites for positions identified by HRBPs at each site;
  • Onsite interview process in TN;
  • Prepare offer packets;
  • When onsite interview is scheduled have offer letter and employment agreement in meeting notice;
  • Coordinate new hire paperwork and new hire orientation meetings;
  • Set up all new hires for the US sites training with the internal trainer;
  • Write and place employment ads, as needed for all US sites;
  • Verify I-9 documentation and maintains that they are current; 
  • Make photocopies, fax documents process invoices and performs other clerical functions;
  • Assist with providing research for policies, training, strategic planning, and other human resource issues;
  • Administrator of the BRAVO program (monitor POKA, monthly winners, post winners on POKA) for all US sites;
  • Assist in preparation of special events and other office or company gatherings;
  • Update job descriptions, as needed for all US sites;
  • Audit on employee files (integration forms, 90 day eva., onboarding info) for US;
  • Serving as back-up for payroll processing, if current processor is unavailable and adequate training is provided;
  • Assist with payroll process as needed to ensure efficient and accurate processing;
  • Maintain a working knowledge of standards, laws, and regulations as promulgated by regulatory and accrediting organizations such as OSHA, State and Federal Governments, etc.; and
  • Assist with additional projects, as assigned.

Requirements

  • Associates’ degree in related field is preferred;
  • 2-5 years of human resource experience preferred;
  • Demonstrated leadership skills and ability for decision making under pressure;
  • Strong oral and written communication skills, excellent judgment, strong sense of ethics & integrity, result oriented;
  • Strong organizational skills with exceptional time management;
  • High level of proficiency with Microsoft Office and other computer based application (I pad, One Note, etc.);
  • Ability to stand; walk; use hands to finger, handle or feel; and reach with hands and arms;
  • Ability to work in office setting; Ability to frequently type and write on computer and use phone;
  • Ability to work under moderate supervision;
  • Ability to lift and/or carry 25-50lbs; and
  • Ability to work 8-10hrs daily; flexible with work hours and able to work overtime and weekends when needed
