FUNCTION SUMMARY
Under the responsibility of the legal advisor, the administrative assistant will perform various administrative tasks to support the needs of the legal department and occasionally those of the finance team.
RESPONSABILITIES
- Manage the complete process of various documents, written in English and in French, with customers and suppliers (sending, following up and arranging for signature of contracts, request insurance certificatesm etc.).
- Enter contract data into computer systems.
- Write correspondence in English and French.
- Assist the legal advisor in verifying the accuracy and compliance of documents such as insurance certificates and personnel placement agency certificates.
- Scan, classify and keep various in an orderly manner.
- Plan and coordinate meetings.
- Perform receptionist tasks about two to three days a week (welcome visitors, manage calls and sort mail).
- Any other related task to support the legal and finance department.
WE ARE LOOKING FOR A PERSON WHO
- Has a diploma in secretarial/office automation or relevant experience.
- Has a minimum of 2-3 years of experience in similar functions.
- Has qualifications in document management (preferred).
- Very good experience with Office 365 (especially MS Excel and MS Word).
- Has a strong sense of organization.
- Is able to manage multiple files simultaneously.
- Has advanced French and English, both spoken and written.
- Always provides good customer service.
- Is rigorous and pays attention to detail.
- Respects the confidentiality of information and exercises discretion.
- Versatile, resourceful, and eager to learn.
